Propose Deficiencies
Allow non-registered users, such as tenants or residents, to propose deficiencies in a building via a public QR code-enabled form, without exposing full area details.
The Propose Deficiency page is a public-facing form designed for property management applications.
It lets anyone such as students in a residence, or tenants in an apartment building submit a deficiency without being a registered user of the platform.
This is ideal in scenarios where management does not want residents or the public to view detailed deficiency lists for an area, but still wants them to have the ability to report issues quickly.
A common use case is placing QR codes inside units or common areas so residents can scan and report problems directly to building management.
Scan QR Code for Area
Each unit or common space can have a unique QR code that links directly to the Propose Deficiency page for that area.
Residents simply scan it with their phone camera no login required.
Fill Out the Public Form
Once the page loads, the floor and area are already pre-validated.
Residents can simply:
- Add a photo of the issue
- Enter a description
- Assign it to a trade/handyman (e.g., plumber, electrician, maintenance)
This ensures management receives structured, actionable data without residents navigating the full application.
Submission and Review
When submitted, the deficiency is saved with a status of “Proposed”.
Building management can then:
- Review and approve the deficiency, assigning it to their workflow
- Or reject/delete the proposal if it’s invalid
Residents are not given access to existing deficiencies they can only propose new ones.
How Propose Deficiency Differs from Area Viewer

QR Codes for Public Access
QR codes are a central part of this feature.
Property managers can print and place QR codes throughout a building:
- Unit-Specific QR Codes: Each apartment or dorm room has a QR code so tenants can propose issues tied to that specific area.
- Common Space QR Codes: Hallways, lounges, or mechanical rooms can have their own codes for quick reporting.
This workflow enables residents to participate in building maintenance seamlessly, while management maintains full control and visibility.
